2 EZ-base, the electronic database for the tool industry
This brochure has been compiled to coincide with the introduction of EZ base (pronounced easy base). The electronic database For many companies a catalogue is an important sales instrument. This is especially true in the case of technical wholesalers because of the huge range of products they sell. At the same time this huge range of products makes it difficult for individual wholesalers to produce catalogues. Simply compiling the information is a daunting task. Then there is also the need to keep the information up to date. It was partly for this reason that the members of the Ferney, Necomij and Zevij buying organisations and the wholesale enterprise Destil decided to join forces to develop a single central product database, known as EZ-base. ICT advances in databases and desktop publishing have introduced all kinds of possibilities when it comes to producing catalogues. And now that we also have the internet, many wholesalers have also set up a webshop or a web catalogue. Yet the basis of a good catalogue is and will always be the quality of the data in the underlying database and the way in which the data is structured. EZ-base is a webbased platform where demand and supply in the tool industry meet. User friendliness and simplicity are the key principles of this marketplace. EZ-base currently lists more than 200,000 articles supplied by 200 suppliers and serves as an innovative source of information for many applications. EZ-base will inevitably play a central role not only in the production of catalogues and brochures but also in the setting up of webshops, price lists and links to purchase order systems. The aims of EZ -base EZ-base aims to expand the uniform article files already issued by construction and industry suppliers. EZ-base guides suppliers and customers thereby ensuring that the management of their article data is as easy as possible. In order to be able to use EZ-base to produce a catalogue or web application with an attractive layout, the article files need to be as uniform as possible. So the existing classification system which divides articles up into groups will be expanded and refined. Because the suppliers themselves are responsible for the accuracy of the information in the database, they have to be able to view the details of their assortment and correct them if necessary via the internet. The EZ-base application automatically ensures that all customers have access to the latest information. 3
EZ-base, the electronic database for the tool industry E-commerce: many ways of saving time E-commerce is a fact and offers those who engage in it all kinds of possibilities. E-commerce automatically involves the use of databases, so EZ-base will inevitable play a key role in the e-commerce strategy of the tool industry. The most obvious advantage of EZ-base is that is saves time. It saves time when it comes to compiling information and producing catalogues or setting up a webshop. But that is just the start. Services that will be added in the near future will enable you to save a considerable amount of time in the running of your business. Because your customers always have the latest article information you will see a rapid increase in the number of electronic orders which will cut down on time-consuming administrative procedures. The advantages of EZ-base One of the main advantages of EZ-base is that it enables users to call up information in a uniform way. Besides supplying information on demand, EZ-base automatically supplies the information in the way that you want. EZ-base also makes things easier for suppliers. As a supplier you save time and money because you can enter and update your product information, product descriptions and prices in a single database. Once you have entered any changes you can rest assured that your customers have the latest information about the articles you sell. In addition to this suppliers can also choose to promote new or existing articles. And it goes without saying that EZ-base will keep monitoring all of the changes made by suppliers. The next step: Pricat The article database is the basis of the e-commerce projects that EZ-base has planned. The first of these plans is to link supplier prices per buyer to all of the articles in the database. Then when a buyer seeks a particular article, the system will show the purchase price that applies in that case. Suppliers are provided with a simple solution that enables them to inform individual buyers of their prices. If a particular article is not part of the standard range, a clever link with your own ERP system will automatically add the article to your range with the press of a button. It is a well-known fact that wholesalers in the tool industry spend a great deal of time leafing through catalogues in search of articles that are not part of the standard range. It is often difficult to find the article in question, and once the right item has been found the wholesaler then has to look up the price before the information can be entered. Once the prices are linked to the article database this will no longer be necessary. 4
Classification system The range of products in the tool industry is both broad and deep. To make it easy to find the articles in a database they need to be arranged in a classification system. This means that articles are grouped and then structured on the basis of their defining features. All suppliers identify these defining features in their own way. In order to be able to structure these definitions, suppliers need to decide on a simple way to define features per product group. Then suppliers and buyers need to agree on a unique structure that makes it as easy as possible for the end user to find the articles they are looking for. At the bottom of the page you can see a screen shot of the classification of cordless rotary hammer drills. The suppliers have identified each machine on the basis of unique defining features. These definitions are stored separately and can later be used as a search argument. (See Figure 1) Classification system To make it easy to quickly find the right article among hundreds of thousands of articles, EZ-base works with a well thought-out system in which all of the articles listed are classified as simply as possible. Devising and setting up the classification system was a project in itself. At the moment the system has 21 sections each of which is divided up into main groups, subgroups and article groups The lowest level is the article group, such as nickel cadmium (NiCd) batteries for example. In other words, all types of NiCd batteries supplied by any supplier are classified under machines / batteryoperated tools / batteries / NiCd batteries. In the case of the Bosch GBH 24 VFR in the example shown opposite, the supplier defined the following features. (See Figure 2) Figure 1. Figure 2. 5

EZ-base, the electronic database for the tool industry Article content of the Bosch Cordless Rotary Hammer Drill GBH VFR Standardisation The fact that all suppliers have their own way of grouping the articles in their catalogue makes it difficult to compile a single universal catalogue from these different catalogues. Fortunately modern-day technology has ways of dealing with this, but it would be ideal if the databases used to produce the catalogues all had the same structure. This would make it extremely easy to combine and synchronise catalogues. You might think that this is still way off in the future. But EZ-base is involved in the development of the GS1 (formerly EAN Netherlands) catalogue item notification system, which will enable all of the parties in the chain to exchange article data in a universal way. The GS1 catalogue item notification system is expected to be operational by the end of 2006. EZ-base as the standard GS1 has indicated that parties inside and outside the tool industry are very interested in the article database. The classification system in particular has attracted a great deal of interest. According to GS1, when combined with a standardised catalogue item notification system EZ-base will be a valuable solution for the exchange of product information for years to come. 8
Working with EZ base EZ-base is a digital marketplace where demand and supply meet. Anyone with an internet connection will find it easy to use EZ-base. To use the different functionalities offered by EZ-base you simply log on to the website, www. ez-base.nl. 9
EZ-base, the electronic database for the tool industry DigiCatalog involves the following steps: 1. Article entry You can choose to enter or change your article information or to add images manually. It goes without saying that article information can also be read in automatically via a pre-prepared Excel file. 2. Classification Once new article information has been entered manually or read in automatically it is then fed into the EZ-base classification system. 3. Editing At this stage you will see the classified articles as they will appear in the cata logue. You can then alter the layout if you wish. Once you confirm that the article information is complete, it will automatically be sent to EZ-base, where the team will carry out yet another final check. 4. Approval EZ-base staff may introduce minor changes during the final check to align the styles of the different suppliers. Once they have been approved by a member of the EZ-base team the articles in question are automatically included in EZ-base and buyers can link to the articles. 5. Excel download It is possible to download your complete article file onto your PC. You can then edit it via a spreadsheet program before sending it back to EZ-base. 10
Buyers link to suppliers EZ-base offers all kinds of functionalities. Buyers who wish to make full use of all of the possibilities have to create a link between the EZ-base and their own ERP system via the article number used by the supplier. In doing so buyers essentially subscribe to the articles they link to and any changes in the article information are automatically forwarded. By establishing a link at the level of the article you can obtain additional product information via your own ERP system. This extremely handy functionality will help your staff to sell your products. The EZ-base marketplace also offers an overview of all of the price lists sent in by the suppliers. There are various ways to search through and use these price lists. The price lists can be downloaded via a secure data communication protocol and processed in your own system. It is easy to create a link. You simply call up the relevant article files from the database and add your own article numbers to the file. You then save the file in EZbase. Naturally you can also create links to articles manually but this is a fairly time-consuming procedure and is mainly intended for small additions. Once the link has been created, you can call up the information on demand for the application you wish to use. If, for example, you wish to print a catalogue, you tell the system to generate a proof. All of the articles you have selected will then be gathered together in a single file that will be loaded into layout unit of the EZ-base application, which will instantly generate a proof entirely automatically. Articles that you have linked to can also be displayed in a webshop. The articles displayed in the webshop are drawn from your own ERP system, which also contains your prices and stock levels. The information drawn from your own system is then automatically supplemented with information drawn from EZ-base, which includes things such as technical specifications and images. 11
EZ-base, the electronic database for the tool industry Producing a catalogue EZ-base simplifies the process of producing a catalogue and makes it far more efficient. For EZbase will do the graphic layout of the catalogue for you. Once you have indicated which of the products in the database need to appear in your catalogue, EZ-base will take care of the timeconsuming and expensive business of laying out and producing the catalogue for you. Everyone has different requirements when it comes to the look of a catalogue. There are various standard layout profiles that you can choose from. An example of a standard layout profile is shown on the following pages. If you feel that the standard layout profiles are not suitable, we will help you to determine the right look for your catalogue. Advertisements The possibility of advertising in a catalogue enables suppliers to draw their name and their assortment more emphatically to the attention of a specific target group. At the same time advertisements also help to cover the cost of producing a catalogue. But finding advertisers takes a great deal of time. So EZ-base makes central agreements with its suppliers regarding advertisements in catalogues. EZ-base maintains a database of the suppliers who are interested, and the database always contains the most recent advertisements. EZ-base takes care of the placement of the advertisements and issues bills for the adver tisements as agreed. Printing costs It goes without saying that printing a catalogue is and will always be an expensive business. Nevertheless, printed catalogues are still a must in the industry. So EZ-base has negotiated competitive rates for the production of catalogues rates that apply regardless of the size of the print run. 12
