2 A2 Schrijven Bestuderen Schrijven algemeen Tips De eerste tip die we je willen geven heeft te maken met het schrijfproces. Je schrijft in schrijfrondes. Dat betekent dat je alles wat je moet doen als je gaat schrijven, na elkaar doet. Je kan en hoeft niet alles tegelijk te doen! 1. Schrijf eerst op wat je op wilt schrijven. 2. Lees daarna je werk over en kijk of je tevreden bent. 3. Lees je werk nog een keer over en haal de spel- en grammaticafouten eruit. De volgende tips zijn ook handig. 1. Leg je werk even weg als je klaar bent en lees het later nog eens over. 2. Gebruik de spellingscontrole. Vergeet niet de taal goed in te stellen. Blijf ook zelf goed opletten want de spellingscontrole weet niet alles. Er kunnen zelfs fouten in je spellingchecker zitten, maar het blijft een handig hulpmiddel. 3. Vraag iemand anders om je werk te controleren. 4. Zoek een voorbeeld van een soortgelijke tekst of brief en leen de woorden en zinnen die je kunt gebruiken. Let daarbij goed op spelling en blijf ook nu weer kritisch. Niet iedereen kan een goede brief schrijven, maar iedereen kan tegenwoordig wel iets op internet zetten! 3 Korte briefjes en memo s Het woord memo is afgeleid van het Engelse woord memory, wat geheugen betekent. Een memo is dan ook bedoeld om iemand anders of jezelf ergens aan te helpen denken. Het is een kort, informeel briefje. Bijvoorbeeld: Date: 30 July 2007 To: John Close From: Mike Cremer Subject: Missed call Hi John, Klein called this morning while you were out. She wondered when her order will be sent to her. Can you find out and call her back please? Thanks, Mike Hoe schrijf je een memo? 1. Geef aan waarover je memo gaat. 2. Schrijf een kort en duidelijk bericht. 3. Opsommingen gebruiken en nummeren mag. 4. Liefst maar één onderwerp per briefje 5. Vul altijd in: Van From Aan To Datum Date Onderwerp Re: / Subject 6. Veel bedrijven hebben standaardblocnotes voor memo s. Vind je het lastig om te bepalen wat belangrijk is om op te schrijven en wat niet? Gebruik dan de volgende vragen om je op weg te helpen: Vraag Wie? Wat? Wanneer? Waar? Waarom? Hoe? Voorbeeld Wie heeft er gebeld? Wat wil hij/zij weten? Wanneer had hij/zij de bestelling geplaatst? Waar moet de bestelling naartoe? Waarom moeten we dit weten? Hoe gaan we dit oplossen? 2 Instruct b.v.

4 Tips Aantekeningen Tot nog toe hebben we het gehad over briefjes waarin je opschrijft wat een ander wil. Aantekeningen voor jezelf maken, is ook erg nuttig. Bijvoorbeeld ter voorbereiding op een gesprek dat je moet gaan voeren (met een klant, collega s met wie je moet overleggen, een begeleider op je stage of een leidinggevende). Je kunt dan weer dezelfde vragen gebruiken om je op het gesprek voor te bereiden. Hier een paar tips: Maak een woordenlijst of zoek een vakgerichte woordenlijst op het internet. Zorg dat je in het Engels data, maanden, dagen, getallen etc. kunt verstaan en opschrijven en dat je ze zelf kunt uitspreken. Maak korte notities. In het Engels! Schrijf geen hele zinnen of lange teksten, dat maakt het juist moeilijker. Je mag best een fout maken. Zorg wel dat je voorbereid bent en dat je ook zo overkomt. 5 Informeel vs formeel Voordat je gaat schrijven moet je bedenken of het een formeel briefje of een informeel briefje moet worden. Als je dat weet, dan weet je ook of je officiële woorden en zinnen moet gebruiken en een officiële aanhef en afsluiting, of dat je een spontane, persoonlijke stijl mag gebruiken. Kijk maar eens naar de verschillen: Formeel compleet briefhoofd formele aanhef formele standaardzinnen afkortingen zijn niet toegestaan formele afsluiting: Yours sincerely Informeel alleen de datum informele aanhef: Hello Pete spontaan, informeel je mag afkortingen gebruiken spontane, informele afsluiting: Bye De overeenkomsten: kort, maar een paar regels één onderwerp Bijvoorbeeld: je stuurt een pakje op naar een collega in het buitenland en je moet er een begeleidend briefje bij doen. Yours, Ben en fax Hieronder vind je een voorbeeld van een bericht: Als je een zakelijke mail schrijft in het Engels, moet je op een paar zaken letten: 1. Vul altijd de velden "To:" en "From:" in. 2. Vul altijd het onderwerp in, bijvoorbeeld: a. Brochure b. Information c. Your order of 3. Gebruik altijd een aanhef: a. Dear sir/madam b. Dear mr Ingram c. Dear Frank d. Dear miss Flockhart 4. Als we een zakelijke vergelijken met een zakelijke brief, dan kunnen we heel veel overeenkomsten vinden. Er zijn ook een paar verschillen. Kijk maar eens naar onderstaand overzicht: Brief kort langer (1 à 1,5 A4) één onderwerp per bericht korte inleiding duidelijk en direct opsommingen en lijsten mogen meer onderwerpen indien nodig langere inleiding/uitleg komt vaak voor langere zinnen, indirecte zinnen lopende teksten Let op! Voordelen kunnen ook nadelen zijn. is snel, soms te snel. Verstuur niet te snel een bericht. Bedenk nog eens of je je bericht echt wilt versturen. Vraag je af of je het op de goede manier zegt (zeker in het Engels). Let op: regels voor beleefd zijn, zijn in het Engels strenger dan in het Nederlands. 6 Instruct b.v.

8 Faxbericht Voor faxberichten gelden soortgelijke regels. Er komt wel een voorpagina bij. In het Engels heet dat een fax cover sheet. Hierop staat: 1. briefhoofd met bedrijfsnaam + adres 2. het woord fax 3. een aantal invulvelden: a. To b. From c. Fax number d. Number of pages e. Phone number f. Date g. Subject/reference h. Cc Aan Van Faxnummer Aantal pagina s Telefoonnummer Datum Onderwerp/referentie Cc (wie stuur je dit bericht nog meer?) 4. invulhokjes die je kunt invullen als dat nodig is: a. Urgent b. For review c. Please comment d. Please reply urgent/dringend ter inzage graag van commentaar voorzien gaarne beantwoorden Kijk maar naar het voorbeeld : Overeenkomst tussen fax/mail en zakelijke brieven: de standaardzinnen zijn hetzelfde. Je mag dus gewoon je boek voor zakelijke brieven in het Engels erbij pakken en daar zinnetjes uit halen als je een zakelijke e/mail wilt schrijven. 7 Instruct b.v.

9 Oefenen Notes, memos and forms Exercise You are going to do an exercise for practice. Deze oefening staat op Put the results in your portfolio. 1 Telephoning Do you remember the gossip game? In that game everyone sits in a circle. The first person whispers a message in his/her neighbours ear. He/She then whispers in his/her neighbours ear. And so on. At the end the message is usually quite different. We are going to play a variation on this game to practice telephone skills. Number of persons: 4 Estimated time: minutes 1. Form a group of Write short messages you can pass on through the telephone. In English. 3. The caller is person Call one person from another group. This is person Pass on the message. The person who receives the call should write a note and give it to his team mate. This is person Person 3 now tells person 1 what the message was. a. Did he/she get it right? 7. Repeat this exercise a number of times. 8. Afterwards, answer these questions: a. What was the message? b. Which message was passed on? c. Was it correct? d. What wasn t? 9. 10 2 Notes, letters and memos You are going to practice writing letters, notes and memos. Number of persons: 1 Estimated time: 50 minutes 1. Write short letters/notes/ s for the following situations. Also, indicate if you re going to write an , a letter (personal or private) or a note. a. You are including a note with a package you re sending b. You are going to confirm a booking you made. c. Your colleague has been ill for 6 weeks now. d. Apologise (verontschuldig je) to a client for a mistake you made (wrong goods were sent). 2. Ask a class mate to read your work and to check it for mistakes. a. Which advice did he give you? b. Was it good? c. What can be improved (verbeterd)? 3. Put everything in your portfolio. 3 Preparing a call (1) When you are going to make a phone call it is a good idea to be prepared. So, you should always have some notes. You are going to practice writing notes. Number of persons: 1 Estimated time: 30 minutes 1. Write notes for the following phone calls: a. You are going to ask when the parts you ordered for your scooter will arrive. b. You received the wrong parts. Ask them to correct the mistake. c. You are going to ask for tickets for a show tonight. 2. Find a partner to work with and call him/her. Pass on the message. 3. After the call ask him/her: a. Was the message clear? b. 11 4 Preparing a call (2) You are going to practice preparing a phone call. Number of persons: 2 Estimated time: 30 minutes 1. Make a list of situations like we used for assignment Write a script for these calls. (What are you going to say?) 3. Give your list to your partner. 4. Ask him to write his script. 5. Compare your work. a. Which script was better? b. Which sentences were better? c. Did you use the same words and sentences? d. What can you learn from each other? 6. Put everything in your portfolio. 5 Writing memos You are going to practice writing memos. Number of persons: 2 Estimated time: minutes 1. Write short notes/memos for the following situations: a. You won t be at work tomorrow. Ask your colleague to deal with an order that you are working on. Use details that are related to your own profession. b. While your colleague was out for lunch, a client called. He/She complained about an order he/she received. Ask your colleague to call back. 2. Hand your note to your partner. 3. Ask him/her to tell you (first in English, then in Dutch) what you want him/her to do. 4. Ask him/her to write it down too. 5. Then tell him/her if he/she was right. 6. Answer the following questions: a. Was your message clear? b. Did your partner understand your message? c. How many misunderstandings did you have? d. What can you learn from this assignment? 7. Ask yourself: would you say the same thing like this to that person if he were standing in front of you? 3. How would he/she feel? 4. If not, what would you say? 5. Write down what you would say. 6. 13 3 Another audience, another style What if you write the same message to someone else? Will that make a difference? Let's find out. Number of persons: 1 Estimated time: 45 minutes 1. Rewrite the s you wrote for assignment This time you act as if you will send your mail to someone you don t know that well. So, you are going to write the same mail, but it has to look and sound formal. 3. Put everything in your portfolio. 4 Check up You are going to help someone else. Check if your class mate wrote a correct . He will do the same for you. Number of persons: 2 Estimated time: 30 minutes 1. Find a partner to work with. 2. Hand the mails you wrote for assignment 3 to your partner. 3. Ask him/her to check your work. 4. Do the same for him/her. 5. Pay attention to/check the following: a. Did he/she use a correct lay out? b. Is everything complete? All fields like to, from etc. c. Did he/she use a salutation (aanhef) and a closing line (afsluitende regel)? d. Did he/she write politely? e. Did he/she spell correctly? f. Did he/she write correct sentences? g. Did he/she write short sentences? h. Is the message short and clear? i. 14 5 Mail gone wrong In correspondence many things can go wrong. Many things have gone wrong over the years. Why? What s the problem? Number of persons: 3-4 Estimated time: 20 minutes 1. Form a group of 3 or 4 people. 2. Discuss the following: a. Can you remember when mail went wrong? b. When you sent a message and people got mad at you? c. When you became angry because of a mail you got? d. Or when you felt hurt? e. When you felt that the mail you got was rude? 3. Decide: a. What is good etiquette? b. What is permitted (toegestaan)? c. What is not permitted? 4. Write a short manual for writing s. The aim: keeping relations okay. 6 Word count s should be short and clear. That is what we tell you. But what is short? Or can a message be too short? Your mail has to be complete too. Let s take a look at an example and count the words. Number of persons: 2 Estimated time: 30 minutes 1. Find an example of an English , for example on the Internet. 2. Make a count and write down: a. How many sentences are there? b. How many subjects are in the mail? c. How many words are there in each sentence? d. What is the longest sentence? e. What is the shortest sentence? f. What is the average (gemiddelde)? g. Do you think that the is clear? h.
