1 A1 - Enquete PM Competenties mbt ERP implementaties NL.xlsx Zwolle, 27 November 2012 Hallo, Als student van de Open Universiteit aan de opleiding BP-MIT (Business Process Management & IT) ben ik bezig met een afstudeeronderzoek naar de belangrijkste eigenschappen van de Project Manager (PM) van ERP implementatie projecten. Hierbij wil ik U vragen om deze enquête in te vullen in het kader van dit onderzoek. Het doel hiervan is de belangrijkste eigenschappen van de PM te vinden die bepalend zijn voor het succes van een ERP implementatie project. Uit diverse bronnen blijkt dat voor het succes van een project een aantal eigenschappen van de PM bepalend zijn. In mijn onderzoek wil ik toetsen welke van deze eigenschappen het meest belangrijk worden gevonden, waarbij ik uit wil gaan van het perspectief van de klant, de opdrachtgeven (gebruiker) en de project manager (PM) zelf. Indien de hypothese ondersteund wordt door de uitkomsten van het onderzoek zal dit helpen bij het selecteren van de juiste PM voor een ERP implementatie en/of kunnen bijdragen aan de vorming van een geschikt opleidingsplan voor een gegeven PM. Ik wil U verzoeken om op het tabblad Enquête (NL) in de "oranje"gekleurde vakken d.m.v. cijfers aan te geven welke competenties en welke 5 leiderschapskwaliteiten U het meest bepalend acht m.b.t. succes van een ERP implementatie project. Alle gebruikte termen worden in de commentaren op de cel verder toegelicht. Als U de muis even boven de betreffende cel houdt, wordt de toelichting op de gebruikte term weergegeven. Indien U meer informatie wilt ben ik bereikbaar via onderstaande gegevens of wil ik verwijzen naar de links hiernaast in kolom D. In deze kolom verwijs ik naar een aantal publieke bronnen over de competenties en leiderschapskwaliteiten. Als laatste wil ik U vragen enkele antwoorden te geven die helpen te bepalen vanuit welk perspectief U de enquête heeft ingevuld. Assertiviteit is een competentie die de PM nodig heeft voor effectieve communicatie met het projectteam en andere belanghebbenden. De PM moet vermijden dat hij door anderen wordt geleid of gemanipuleerd tot het nemen of aanbevelen van beslissingen die niet in het belang van het project zijn. De PM beheerst het project t.a.v. doelen planning en contracten en rapporteer daarover op adeuqate wijze. Hij meet de werkelijke projectvoortgang en prestatie, vergelijkt die met de baseline en neemt eventueel noodzakelijke acties ter verbetering. Rapportages zijn hierbij een belangrijke vorm van coimmunicatie en geven informatie over de status van het werk aan het project en prognosticeert ontwikkelingen tot het eind van het project of programma. Rapportages bevatten ook financiële audits en reviews van het project. De projectmanager dient alle belanghebbenden en hun belangen in kaart te brengen en deze te rangschikken naar de mate van prioriteit voor het project. Gedurende het project bewaakt hij ook eventuele veranderingen in deze belangen. De PM is betrokken en gemotiveerd bij het project en zorgt tevens voor voldoende betrokkenheid en motivatie van de projectteamleden. Betrokkenheid is hierin de persoonlijke buy-in van de projectmanager, de projectmedewerkers en anderen die met het project verbonden zijn. De motivatie van het projectteam is onder andere afhankelijk van de onderlinge verbondenheid van de leden en van hun vermogen om met de hoogtepunten en dieptepunten in het project om te gaan. De PM is betrouwbaar, wat inhoudt dat hij/zij oplevert wat is toegezegd, op de afgesproken tijd en conform de kwaliteit die in de projectspecificatie is overeengekomen. Betrouwbaarheid omvat daarbij verantwoordelijkheid, correct gedrag, degelijkheid en zelfverzekerdheid maar houdt ook in het minimaliseren van fouten, openheid en consistentie. De PM zorgt voor de effectieve communicatie door correcte en volledige uitwisseling van informatie tussen partijen. Effectieve communicatie is van groot belang voor het succes van projecten, programma s en portfolio s; de juiste informatie moet zorgvuldig en consistent aan relevante partijen worden overgebracht om aan hun verwachtingen te voldoen. Communicatie moet nuttig, helder en tijdig zijn. De PM signaleert mogelijke conflicten die tussen betrokken personen of belanghebbende partijen ontstaan en voorkomt daardoor crises in het project of zorgt in het geval van crises voor een adequate oplossing van de crises met een minimale impact op de resultaten van het project. De PM bezit creativiteit d.w.z. het vermogen om te denken en te handelen op originele en fantasierijke manieren. De PM maakt daarbij ook optimaal gebruik van de creativiteit van medewerkers, de gezamenlijke creativiteit van het projectteam en de organisatie, ten gunste van zijn project. De PM heeft het vermogen om tijd, mensen en middelen efficiënt en kosteneffectief in te zetten om de afgesproken resultaten op te leveren en aan de verwachtingen van de belanghebbenden te voldoen. Deze efficiëntie van de PM omvat hierbij ook het gebruik van methoden, systemen en procedures op de meest effectieve manier. GWScheppink Page
8 Competentie_Omschrijvingen.xlsm De PM is in staat om op adequate wijze de eisen en doelen van het project uit de klantbehoeften af te leiden en gedurende het project in staat om resultaten en de eisen en doelen in overeenstemming te houden. De PM vertoont ethisch gedrag d.w.z. moreel geaccepteerd gedrag naar alle belanghebbenden en deelnemers. In de meeste organisaties worden bepaalde ethische normen in aanstellingscontracten opgenomen; ze betreffen de gedragsregels waaraan medewerkers zich moeten houden. Ethiek stelt mensen in staat op een bevredigende manier het project te leiden er aan deel te nemen en de resultaten op te leveren. De PM zorgt er voor dat er tijdig en voldoende financiële middelen beschikbaar zijn. De PM moet aan het financiële management van de organisatie informatie geven over de financiële eisen van het project en samenwerken om de fondsen beschikbaar te krijgen, betalingen te controleren en het gebruik van zulke fondsen te beheersen. De PM zorgt er voor dat alle project activiteiten voldoen aan de norm van correct gedraagt ten aanzien van gezondheid, beveiliging, veiligheid en het milieu, zowel gedurende de planning en de uitvoering van het project als tijdens de opgeleverde productlevenscyclus en de ontmanteling en afvoer ervan. De PM zorgt voor de beschikbaarheid van voldoende en juiste informatie en documentatie. Dit behelst o.a. het modelleren, verzamelen, selecteren, opslaan en terugvinden van projectgegevens (opgemaakt, niet opgemaakt, grafisch, op papier, op elektronisch medium). Hieronder wordt ook verstaan de documentatie m.b.t. de projectresultaten (b.v. een product of dienst). De PM zorgt via het inrichten van een goed inkoopproces voor het het verkrijgen van de beste value for money van leveranciers van goederen of diensten aan het project. Het is noodzakelijk om het werk van de betrokken leveranciers en organisaties te formaliseren, duidelijk vast te stellen wat van hen wordt verwacht, welke controle moet worden uitgeoefend door de ontvangende organisatie en wat de verplichtingen van elke partij zijn. De PM draagt zorg voor compliance m.b.t. wet- en regelgeving gedurende het project maar ook voor de opgeleverde resultaten (systemen, producten en/of diensten). Wettelijke bepalingen moeten worden opgevolgd om belangrijke juridische risico s te beperken omdat er een mogelijk risico is dat iemand juridische actie tegen u onderneemt. De PM zorgt voor adequaat management van projectkosten & financiën en zorgt daarbij direct of indirect voor alle acties die nodig zijn voor het plannen, bewaken en beheersen van kosten tijdens de projectlevenscyclus, inclusief projectbeoordeling en kostenschattingen in de vroege fases van het project. Financiële beheersing van het project zorgt ervoor dat gedurende de hele projectfasering het projectmanagement weet hoeveel financiële middelen voor elk tijdsinterval nodig zijn en is noodzakelijk voor adequate rapportage. De PM zorgt er voor dat de eigenschappen van een resultaat overeenkomen met de expliciete of impliciete verwachtingen van de belanghebbenden. Expliciete verwachtingen moeten worden daarbij vastgelegd in de eisenlijst. Dit kan b.v. ondersteund worden door kwaliteits-audits en -controles van zowel project en/of product. De PM stuurt en motiveert anderen in hun rol of taak om zodoende de projectdoelen te bereiken. Naast het tonen van leiderschap aan het projectteam wordt de PM als leider worden gezien in het vertegenwoordigen van het project bij het de directie, opdrachtgever en/of andere belanghebbenden. De PM dient ervoor te zorgen dat mensen de noodzakelijke technische, gedragsmatige en contextuele competenties hebben en voorzien worden van de juiste informatie, instrumenten en training om de taken die van hen worden vereist, succesvol te kunnen verrichten. De PM is in staat onderhandelingen zo te leiden dat partijen meningsverschillen over het project kunnen oplossen en zo tot een wederzijds bevredigende oplossing komen. De PM is in staat goed te onderhandelen en daardoor conflicten te voorkomen. De PM bezit het vermogen om door ontspanning in moeilijke situaties de spanning te verminderen of weg te nemen. Het verlagen van de spanning is in bepaalde situaties belangrijk om een vruchtbare samenwerking tussen betrokken partijen te behouden. De PM bezit de vaardighied om anderen te laten voelen dat ze zich vrij mogen uiten, zodat het project kan profiteren van hun bijdragen, suggesties en bezorgdheden. De PM bezit de competentie om te redeneren, deugdelijke argumenten aan te voeren, een zaak van een andere kant te bekijken, te onderhandelen en oplossingen te vinden. Dit is in wezen de uitwisseling van meningen over projectissues. De PM begeleid dit overleg zodanig dat er optimale resultaten m.b.t. het project mee behaald worden. De PM is in staat de HR aspecten te managen van in verband met het project, zoals planning, werving, selectie, training, retentie, prestatiebeoordeling en motivatie. De PM is in voldoende mate protfolio-georiënteerd d.w.z. hij/zij houd rekening met de gehele verzameling projecten en/of programma s die niet noodzakelijk aan elkaar gerelateerd hoeven te zijn maar die zijn samengevoegd omwille van beheersing, coördinatie en optimalisering. Een bedrijf is een industriële, commerciële of professionele onderneming die zich bezighoudt met de levering van goederen of diensten. Dit geldt zowel voor profit- als voor non-profitorganisaties. Bedrijven zijn ingericht rondom primaire processen. Dit competentie-element betreft de invloed van deze primaire processen op het managen van projecten, programma s en portfolio s, en andersom. De PM bezit een adequaat probleemoplossend vermogen. Veel van het werk in de project levenscyclus omvat het definiëren van taken en oplossen van problemen die betrekking hebben op planning, kosten, risico's en/of resultaten. De PM is in staat om deze problemen tijdig te signaleren en te verhelpen. De PM heeft voldoende oog voor het programma waarvan het project deel uitmaakt. De PM kan programma doelstellingen en project doelstellingen goed onderscheiden en juiste prioriteiten geven. Een programma is een verzameling gerelateerde projecten en organisatorische veranderingen om een strategisch doel te bereiken en de baten die de organisatie daarvan verwacht te realiseren. Dit competentie-element betreft de definitie en kenmerken van programma s en hoe deze te managen. De PM is voortdurend in staat het project-, programma- en portfoliomanagement in de betreffende organisatie te beheren en te verbeteren. De PM krijgt van relevante belanghebbenden voldoende waardering voor de projectmanagementresultaten. Noot: Dit betreft succes van het managen van het project niet het succes van het projectresultaat, dat kan nl door allerlei andere factoren niet worden behaald. De PM is in staat de projectteamleden zodanig te organiseren dat autoriteit, relaties en verantwoordelijkheden in overeenstemming zijn met de bedrijfs- of functionele processen. Deze competentie behelst het ontwerp en onderhoud van de structuur en de juiste rollen en mogelijkheden voor het project. De PM is in voldoende mate geörenteerd op het project en daardoor in staat een qua tijd en kosten beperkte operatie uit te voren om zodoende een aantal vastgestelde resultaten te bereiken (projectdoelstellingen). De PM is in staat om een project zodanig te starten dat deze start de basis biedt een succesvol project. Het begin van een project wordt vaak gekenmerkt door onzekerheid, met informatie die schetsmatig of nog niet beschikbaar is. Eisen van belanghebbenden kunnen slecht gedefinieerd zijn, hun verwachtingen kunnen irreëel zijn en het tijdschema onhaalbaar, terwijl vroegtijdig optimisme en enthousiasme door realisme moeten worden getemperd. De PM is in staat deze onzekerheden en verwachtingen in goede banen te leiden. De PM is in staat het project zodanig te structureren dat deze een duidelijke vorm hebben die is weergegeven in tijd, kosten en/of opbrengsten. De portfolio, programma en project managers coördineren de diverse structuren op hun eigen deelgebied. Voor de projectstructuur vooral is de projectorganisatie relevant, die kan worden opgedeeld in sub-projecten en onderdelen. De PM bezit het vermogen de intrinsieke kwaliteiten in anderen waar te nemen en hun standpunt te begrijpen. Ook heeft de PM het vermogen met anderen te communiceren en open te staan voor hun meningen, waardeoordelen en ethische normen. De PM is in staat aandacht van individuen en het team op hoofddoelen van het project te richten om zodoende voor alle betrokkenen het beste resultaat te bereiken. Gedurende alle fasen van het project heeft de PM voldoende aandacht voor het proactief werken van alle teamleden en vereist aandacht voor risico's en kansen. Indien nodig moet de PM externe hulp inschakelen om risico's te minimaliseren tot een door alle betrokkenen aanvaard niveau. De PM is zich voldoende bewust van de grenzen van het project (scope) en behoudt focus op de op te leveren resultaten die voor een succesvol project noodzakelijk zijn. Dit zijn zowel materiële als immateriële zaken die door het project voor de klant worden geproduceerd. De PM zorgt voor voldoende betrokkenheid met het project vanuit de staande organisatie, deze gaan nl. met de resultaten van het project werken. Dit competentie-element behelst de tijdelijke relatie tussen project- en/of programmaorganisaties en de lijnorganisatie voor zover deze bijdraagt aan of raakvlakken heeft met de projectactiviteiten. Omdat de staande organisatie het product of de resultaten van het project gebruikt, zijn projecten niet adequaat uit te voeren zonder de betrokkenheid van medewerkers die afkomstig zijn uit de staande organisatie. De PM beheert de relatie tussen het project en de organisatie en is in staat deze op een juiste manier toe te passen, op te leveren en te implementeren Dit competentie-element betreft de relatie tussen een project/programma en de organisatie voor wat betreft systemen, producten en/of technologie. Dit is op te splitsten in het toepassen, opleveren en implementeren van systemen, producten en/of technologie ten behoeve van, door of binnen een organisatie. De PM is in staat een team samen te stellen, goed laten samenwerken en continue te ontwikkelen zodat een optimaal resultaat kan ontstaan. De PM is in staat om op gestructureerde wijze mensen en middelen te koppelen en activiteiten en deze op een zodanige manier in volgorde te plaatsen dat de projectfasen voor iedereen helder zijn en op tijd kunnen worden afgerond. Tijd staat hierbij voor het structureren, in een volgorde plaatsen, de duur, het inschatten en plannen van activiteiten en/of werkpakketten, inclusief de toewijzing van mensen en middelen aan activiteiten, het stellen van projectdeadlines en het monitoren en beheersen van de tijdige realisatie. Een projectfase is een tijdfase van het project, die duidelijk gescheiden is van andere perioden. Een projectfase omvat zowel belangrijke projectresultaten als beslissingen die de basis voor de volgende fase zijn. De PM is in staat om adequaat met wijzigingen om te gaan en de gevolgen van eventuele wijzigingen in de projectplannen te verwerken. Wijzigingen zijn vaak noodzakelijk in een project vanwege onverwachte gebeurtenissen. Het kan nodig zijn de projectspecificatie of de contractvoorwaarden met leveranciers of klanten te wijzigen. Wijzigingen moeten worden bewaakt volgens de oorspronkelijke projectdoelen zoals vastgelegd in de business case. The project manager avoids being led or manipulated by others into taking or recommending decisions not in the interest of the project. A business is an industrial, commercial or professional operation involved in the provision of goods or services. It applies to for-profit as well as nonprofit organisations. This competence element covers the impact of business issues on managing projects, programmes and portfolios and vice-versa. This includes the information needed on both sides to ensure that issues are properly addressed and that the results from projects, programmes and portfolios are aligned with business needs. Changes are often necessary in a project due to unanticipated occurrences. It may be necessary to change the project specification or the contract terms with suppliers or customers. Changes must be monitored against the original project goals and objectives as set out in the business case. At the start of a project, the change management process to be adopted should be agreed with all relevant interested parties. A formal, proactive change management process that anticipates the need for change is preferable to a process that reacts only after the need for change is obvious. Close-out refers to the completion of the project or programme or of a phase of the project, after the results of the programme, project or phase have been delivered. Communication covers the effective exchange and understanding of information between parties. Effective communication is vital to the success of projects, programmes and portfolios; the right information has to be transmitted to relevant parties, accurately and consistently to meet their expectations. Communication should be useful, clear and timely. Communication may take many forms: -- oral, written, text or graphic, static or dynamic, formal or informal, volunteered or requested -- and may use a variety of media such as paper or electronic means. Communication may take place in conversations, meetings, workshops and conferences, or by exchanging reports or meeting minutes. This competence element covers ways of handling conflicts and crises that can arise between different individuals and parties involved in a project or programme. A process for handling conflicts and crises should be set the start of the project. Crisis management starts with good risk analysis and Consultation is the competence to reason, to present solid arguments, to listen to the other point of view, to negotiate and to find solutions. It is basically the exchange of opinions about project issues. Based on respect, systematic and structured thinking, analysis of facts and arguments or scenarios it leads to mutually accepted decisions. Control is based on project objectives, plans and contracts. It measures actual project progress and performance, compares it against the baseline, and takes any necessary remedial action. Reporting provides information and communication about the status of work on the project and forecasts developments up until the end of the project or programme. Reporting also includes financial audits and reviews of the project. Project cost and finance management is the sum of all the actions required for planning, monitoring and controlling costs during the project life-cycle, including project assessment and cost estimates in the early phases of the project. Creativity is the ability to think and act in original and imaginative ways. The project manager exploits the creativity of individuals, the collective creativity of the project team and the organisation they work within to the benefit of his project. Efficiency is the ability to use time and resources cost-effectively to produce the agreed deliverables and fulfil interested parties expectations. It also embraces using methods, systems and procedures in the most effective way. Efficiency is a basic component of project management, at least if it s practised on relevant issues. Engagement is the personal buy-in from the project manager to the project and from the people inside and associated with the project. Engagement makes people believe in the project and want to be part of it. Motivating an individual requires the project manager to be aware of the person s skills and experience, their personal attitudes, circumstances and their intrinsic motivations. Ethics embraces the morally accepted conduct or behaviour of every individual. Ethical behaviour is the basis of every social system. In all instances, the project manager should act according to accepted codes of professional conduct. Financial management is responsible for making the necessary funds available for the project in a responsible and timely way. The project manager must provide information to the financial management of the organisation about the financial requirements of the project and co-operate in accessing the funds, checking payments and controlling the use of such funds. This element covers the activities that help ensure the organisation behaves appropriately in the context of health, security, safety and the environment, and during the planning phase of the project, its execution, and during the delivered product s lifecycle and its decommissioning and disposal. Growing corporate responsibility, awareness and the possibility of litigation have made it necessary to ensure that organisations have the appropriate level of knowledge and experience on these issues. In projects all major issues on health, security, safety, and the environment are covered by regulations, defined standards and operating procedures which minimise risk to a level considered acceptable by the organisation, the public, the legal system, operators and others. This minimises the likelihood of an accident occurring, in which people are injured, equipment damaged or the environment polluted. The project manager must ensure that these standards, which are often specific to the type of project, are adhered to in operation. The project manager must review them regularly to ensure continued compliance. Information management includes modelling, gathering, selecting, storing and retrieving project data (formatted, unformatted, graphical, hard copy, electronic copy). Care must also be taken in deciding who gets what information. There can be a tendency to overwhelm people with too much information. Interested parties should receive only the information that they need, in a suitable form, to allow them to take whatever action is required of them. Documentation includes all the data, information, knowledge and wisdom accrued during the project life-cycle, especially that which concerns project configuration and changes and all the management documents. The project manager should identify all the interested parties, what their interests are, and sequence both in order of importance to the project. Leadership involves providing direction and motivating others in their role or task to fulfil the project s objectives. The project manager must know what leadership styles exist and decide which one is appropriate for the project, the team being managed and when dealing with senior management and interested parties, in all types of situations. The leadership style adopted includes patterns of behaviour, communication methods, attitude about conflicts and criticisms, ways of controlling team members be haviours, decision making processes, and the amount and type of delegation. This competence element describes the impact of the law and regulations on projects and programmes. From a contextual perspective, it is important to limit one s legal exposure (because there is a possible risk of someone taking legal action against you) and to have a reputation for conducting business within the law and in an ethical manner. Limiting legal exposure materially reduces the potential for lawsuits; being in the right can still cost a lot of money and lost time in defending yourself if someone sues you and you may not get back the money spent on lawyers even if you win the case. A well developed ability to negotiate can help the project manager to avoid real conflicts. Openness is the ability to make others feel they are welcome to express themselves, so that the project can benefit from their input, suggestions, worries and concerns. Permanent organisations have a long term purpose. Projects, programmes and portfolios are used to achieve and manage changes or to execute the core business in a project oriented organisation. Projects either are carried out within a permanent organisation or use the resources/facilities/ products provided by the permanent organisation. The working procedures of the permanent organisation (work tasks, hierarchy, levels of authority, responsibilities, organisational structures, and decision making) exert an influence on project work and vice-versa. This element covers aspects of human resource (HR) management related to projects and/or programmes including planning, recruitment, selection, training, retention, performance assessment, and motivation. A portfolio is a set of projects and /or programmes, which are not necessarily related, brought together for the sake of control, coordination and optimisation. Issues on a portfolio level have to be reported to and decided upon by the general management of the organisation Most of the work in the project life-cycle deals with the definition of work tasks and problem resolution. Most of the problems that arise are likely to involve the time-frame, cost, risks or deliverables of the project or an interaction between all four factors. Procurement: involves obtaining the best value for money from suppliers of goods or services to the project. There is a need to formalise the work performed by the suppliers and organisations involved, clearly defining what is expected from them, the control to be exerted by the receiving organisation and the obligations of each party. A contract is a legally binding agreement between two or several parties to perform work or supply goods and services under specified conditions. A contract may be in the form of a verbal agreement, or exist as a document signed by the parties involved. A programme is a set of related projects and organisational changes put in place to achieve a strategic goal and to deliver the benefits that the organisation expects. This element of competence covers the definition and attributes of programmes and of their management. Project management success is the appreciation of the project management results by the relevant interested parties. Project orientation is the term used to describe the orientation of organisations to managing by projects and the development of project management competence. The way projects are coordinated in portfolios, projects are managed and the competences of the project managers are developed have a direct impact on the success of a project. Projects differ substantially from the normal operation of organisations. The project organisation is a group of people and associated infrastructure with an arrangement of, authority, relationships and responsibilities aligned to the business or function s processes. This competence element covers the design and the maintenance of appropriate roles, organisational structures, responsibilities and capabilities for the project. Projects can be broken down into their constituent parts from different standpoints, e.g. work breakdown, project organisation, project cost, information and documents structure. The project structures are a key mechanism for creating order within the project. Hierarchical structures serve to ensure nothing is omitted from the project. This competence element covers the process of establishing and continuously improving project, programme and portfolio management in organisations. In any organisation, there is a process of continuous improvement involving change management. Such change management may be evolutionary and happen slowly or be more revolutionary and happen over a shorter period of time. Implementation of project, programme and portfolio management is an organisational strategy that requires the definition of a programme (referred to as the PPP programme) to implement it. Continuous improvements are needed to improve capability in project, programme and portfolio management and increase the success of the organisation in carrying out its strategic plan. Quality of the project is the degree to which a set of inherent characteristics fulfils the project requirements. Project quality management embraces all phases and parts of the project from the initial project definition, via the project processes, the management of the project team, the project deliverables and the closure of the project. Relaxation is the ability to relieve tension in difficult situations. De-escalation of a tense situation is important in maintaining fruitful cooperation between involved parties. Relaxation can take the tension out of a situation or re-energise a group of people when it's needed. Reliability means delivering what you have said you will to the time and quality agreed within the project specification. Being reliable builds trust in others who know that you will live up to what you have promised to do. Reliability covers responsibility, correct behaviour, robustness and confidence. It implies minimising errors as well as openness and consistency. Project management should make sure that individuals have the necessary technical, behavioural and contextual competences and are provided with adequate information, tools and training to perform the tasks required of them successfully. Results orientation means to focus the team s attention on key objectives to obtain the optimum outcome for all the parties involved. The project manager has to ensure that the project results satisfy the relevant interested parties. This also applies to any changes agreed during the course of the project. Whilst focusing his attention on results, the project manager still needs to maintain an awareness of and react to any ethical, legal or environmental issues that affect the project. The project manager is responsible for keeping himself and all the project team members working proactively, alert to risks and opportunities, committed to the risk management process, for involving interested parties in that process and, when needed, for getting appropriate experts as consultants to support project risk management. Requirements management consists of the identification, definition and agreement of the project to meet the needs and expectations of interested parties, especially those of the customers and users. Scope: The project scope defines the boundaries of a project. If the boundaries or changes to the project, programme, or portfolio are not properly defined, then the situation tends to get out of control. From the point of view of the interested parties the scope embraces the totality of all the deliverables, which are included in a project. Deliverables: The deliverables of a successful project, programme or portfolio are tangible or intangible assets created by the project, programme or portfolio for the customer. Self-control or self-management is a systematic and disciplined approach to cope with daily work, changing requirements and to deal with stressful situations. The project manager is responsible for maintaining an awareness of the stress levels in the team and taking appropriate remedial action to pre-empt any situation where it is likely to get out of control. It is frequently characterised by uncertainty, with information that is sketchy or not yet available. This competence element covers the linkage between a project/programme and the organisation regarding systems, products and/or technology. This is split into applying, delivering and implementing systems, products and/or technology for, from or into the organisation. Teamwork covers the management and leadership of team building, operating in teams and group dynamics. Teams are groups of people who work together to realise specific objectives. Time: Covers the structuring, sequencing, duration, estimating and scheduling of activities and/or work packages, including the assignment of resources to activities, establishing project deadlines and monitoring and controlling their timely execution. These aspects should be displayed on a critical path diagram. Phase: A project phase is a discrete time period of the project sequence, which is clearly separate from other periods. 13 Project Managers: Project succes, competenties en Introductie Hallo, Als student van de Open Universiteit aan de opleiding BP MIT (Business Process Management & IT) ben ik bezig met een afstudeeronderzoek naar de belangrijkste eigenschappen van de Project Manager (PM) van ERP implementatie projecten. Uit diverse bronnen blijkt dat voor het succes van een project een aantal eigenschappen van de PM bepalend zijn. In dit onderzoek wil ik toetsen welke van deze eigenschappen het meest belangrijk worden gevonden, waarbij ik uit wil gaan van het perspectief van de klant (de opdrachtgever of gebruiker), de leidinggevende van de PM (Project Manager) of de PM zelf. Het doel hiervan is de belangrijkste eigenschappen van de PM te vinden die bepalend zijn voor het succes van een ERP implementatie project. Indien de hypothese ondersteund wordt door de uitkomsten van het onderzoek zal dit helpen bij het selecteren van de juiste PM voor een ERP implementatie en/of kunnen bijdragen aan de vorming van een geschikt opleidingsplan voor een gegeven PM. If so, than please read my request, otherwise please forward this to anyone you know who fits this profile. My name is Gert Wim Scheppink and I am a student at the Dutch Open University at the faculties Management Sciences and Informatics (Business Process Management & IT). Currently I am doing my thesis research and subject of the research are the critical Project Managers characteristics in regard to successful project management of ERP implementations. Multiple sources state that for a successful project a subset of competences or leadership quality dimensions are key. Herewith I would like to ask you to answer this short survey to enable me to answer the question which characteristics are the most relevant. The research will answer if the hypothesis that a subset of characteristics is found to be most relevant is supported or not. If supported the findings will aid in selecting the best PM for an ERP system implementation project or assist in developing professionals with the best suitable training for these types of projects.
